Email Templates (Overview)

HirePOS allows customised email templates to be configured to suit various scenarios. The main default email template covers most general sales/hire scenarios, like emailing quotes, bookings & invoices. Other templates can be created for other scenarios like emailing statements and receipts for example.

Email templates consist of a Display Name, From Address, Reply To, BCC, Email Subject, and Email Message. The subject and message can include placeholders to auto-populate the text.

Set up the primary default email template

  1. Go to Setup > Preferences > Email Templates & Settings.

  2. Populate the various fields as needed.

  3. Use the Placeholders dropdown to the right of the Subject and Message fields as needed.

  4. Click the Save Settings button located towards the bottom to commit your changes.

Set up other email templates

  1. Go to Setup > Preferences > Email Templates & Settings.

  2. Click the Other Email Templates button located at the bottom.

  3. Click the New Email Template button located at the top-left.

  4. Check the Standard Template Names dropdown located at the top-right to see if there is a template name that suits the template scenario. If a template uses any of these built-in names, HirePOS will automatically choose that template for you when emailing.

  5. Continue setting up the template and populating the various fields as needed.

  6. Click the Save New button located at the bottom to commit your changes.
