Custom Fields

HirePOS has a place for virtually any piece of data you might want to store. Even so, every business is different, and occasionally a customer will come to us with a piece of data that does not have a home in the software. This is where Custom Fields come into play. 

A Custom Field is a single-line text field designed to store a short piece of information, like a name, word or short sentence. What makes custom fields special is the ability to set the name of the field globally across your HirePOS database.

For example, perhaps you wish to store the favourite colour of all of your customers. One way to do this would be to set one of your "Customer Custom Fields" to be titled "Favourite Colour". Doing this, you would now have a place in every customer file to store their favourite colour.

Items, Invoices, Customers, and Suppliers all have a set of "Custom Fields" (All of which have 8 Custom Fields, except Suppliers, which has 4)

Setting up and using Custom Fields

Items

  • Setup:

    • Navigate to Setup > Items > Options > Custom Field Names

    • Define a name for as many fields as you require.

    • Press Save

  • To enter corresponding data for each custom field:

    • Navigate to Setup > Items > (select item) > "Custom Field" Tab.

    • Enter your data and press save.

    • Note: These fields can also be populated as a part of a CSV data import.

Customers

  • Setup:

    • Navigate to Setup > Customers > Options > Custom Field Names

    • Define a name for as many fields as you require.

    • Press Save

  • To enter corresponding data for each custom field:

    • Navigate to Setup > Customers > (select customer) > "Custom Field" Tab.

    • Enter your data and press save.

    • Note: These fields can also be populated as a part of a CSV data import.

Suppliers

  • To enter data for each custom field:

    • Navigate to Setup > Items > (select item) > "Custom Field" Tab.

    • Enter your data and press save.

    • Note: These fields can also be populated as a part of a CSV data import.

Invoices

  • Setup:

    • Navigate to Setup > Preferences > Invoice Custom Field Names 

    • Define a name for as many fields as you require.

  • To enter corresponding data for each custom field:

    • Navigate to Sales > Sales > (select quote/booking/invoice) (or open a sales record in one of many other ways)

    • Select the "Custom Fields" Tab, just above the Booked From / To Dates

    • Enter your data and press save.
